Security Update: One-Time Password Now Active
Dear customers,
We would like to inform you about an important change in your Onboarding Solution that enhances the protection of sensitive data.
Effective immediately, the one-time password feature is now enabled by default during the preboarding phase. This change is applied automatically to prevent unauthorized access to sensitive information via task links. Previously, the feature was deactivated by default.
What does this mean for you?
When tasks containing sensitive content (e.g., personal data, contract documents, etc.) are sent during the preboarding phase, the one-time password ensures that only the intended new hires can access this information.
Previously, it was technically possible to share these links with third parties – this potential security gap is now closed through the new setting.
Once entered for the first time, the one-time password is stored in the new hire’s browser for two weeks. After that period, a new password will be requested.
If the feature is deactivated, the system will issue a clear warning. Additionally, all administrators in your Onboarding Solution will automatically receive a notification showing who deactivated the feature and when.
For any questions or further information, your dedicated customer support contact will be happy to assist you.
Kind regards,
Your Onboarding Team
